Ruby’s is a charity based in Cheshire East. We have over 12 years’ experience of supporting children with special educational needs and disabilities (SEND), and their families and carers. We are passionate about what we do. Through our services we support and encourage families to thrive in their own unique way. We run a busy timetable of sessions at our centre in Congleton.  We are now looking a Centre Assistant who shares our passion for supporting children, their families, and carers, and who will be enthusiastic about providing a high-quality cafe provision.

Job Title: Centre Assistant

Responsible to: Centre Manager
Hours: 12 hours per week plus two Saturday per month (this may occasionally be a Sunday or an evening). Starting hours expected to be Monday 10.30am-3.30pm, Tuesday 10.30-2.30pm & Thursday 12.30-3.30pm
Contract: Permanent
Salary: inline with the National Living wage

DBS Check required:
 Enhanced with Barring List update
Qualifications: Level 2 food hygiene, customer service (or willingness to complete)
Experience: Minimum of 3 years’ experience in a similar role is preferred

Job Purpose

  1. The post holder will provide support to the centre manager with the day to day running of the centre, the café and its facilities
  2. The post holder will support volunteers with roles within the centre to ensure they gain confidence and enhance life skills.

Summary of Key Duties & Responsibilities:

General Tasks

  • Fulfil your duties within the job description and contract
  • Ensure that all Ruby’s Fund policies, procedures and values are always upheld
  • Always represent Ruby’s Fund in a professional manner
  • Support the centre manager with the general day to day running and maintenance of the centre & facilities
  • To report back to the centre manager as required with the information relating to quality of provision and anything else which may compromise the provision, nature, and values of Ruby’s
  • Primary keyholder for the centre as required
  • Have a good understanding of health & safety in the centre and for the maintenance of the building and equipment to ensure staff, volunteer, and centre user safety
  • Reception duties – till, sales, phone calls, signposting using website
  • To assist with the monitoring of café stock to include ordering and stocktaking
  • Shop support, including stock management, sales monitoring, and completion of gift aid spreadsheet
  • Assist with timetable planning as required
  • Assist with data collection via customer satisfaction surveys
  • Support the fundraising team with events at the centre as required
  • Contribute to the agreed high standards of hygiene and cleanliness at the centre
  • Provide cover in the Café as required
  • To undertake such other duties and responsibilities of an equivalent nature as may be determined from time-to-time by the centre manager.

Administration

  • Fulfil administration duties including reporting, stock taking and personnel training.
  • Support the centre manager with data gathering and reporting
  • Support the centre manager to ensure all centre sessions are planned, staffed, and fully prepared in advance of the session
  • Promote services and session on display boards
  • Follow all relevant Acts including the Equality Act 2010 and GDPR that relate to data management

Health and Safety

  • Have a good understanding of Health and Safety in the workplace
  • Contribute to the efficient upkeep and maintenance of the café, soft play, sensory garden, and toilets including stock and equipment, furnishings, and fittings
  • Ensure that all policies and procedures are always followed
  • Ensure food safety laws are always adhered to
  • Be responsible for Health and Safety in the workplace
  • Ensure a weekly fire alarm check is performed, equipment is checked and documented accordingly

Safeguarding

  • Be part of the Ruby’s team that is responsible for the safeguarding of centre users at all times
  • Ensure that all policies and procedures are implemented and always followed

Staff

  • Support all members of the centre and café teams in their day-to-day duties
  • Attend and contribute to regular staff meetings
  • In the absence of the centre manager understand and follow sessions plans, delegated tasks and workload for the day
  • Encourage and support other staff so they feel motivated and want to do their best

Volunteers

  • Follow volunteers training plans to help support them fulfilling their duties within their role descriptions
  • Support the volunteers in their training for their posts so they feel supported and skilled to fulfil their duties within their role descriptions

Person specification:

  • Professional, reliable, positive, and proactive
  • Be organised with good time management skills
  • Committed to developing own skills, knowledge, and behaviours
  • Be approachable, kind, and helpful to all centre users
  • Ideally, experienced in supporting children, young people, and families especially children with SEND
  • The willingness and ability to engage with children, young people, and parents to build rapport
  • Has recently completed safeguarding training or willingness to undertake
  • Has recently completed basic food hygiene level 2 or willingness to undertake
  • Has recently completed first aid in the workplace or willingness to undertake
  • Understanding of health and safety and risk assessments
  • Good IT skills
  • The willingness and ability to work flexibly and outside of normal office hours if required
  • Ability to organize, plan and undertake own work, including appropriate record keeping
  • Ability to be flexible, responsive and adapt practice to meet the individual needs of young people and their families
  • Ability to contribute to creative menus in the cafe
  • Understanding of Equality and Diversity and the commitment to meet the individual needs of children and families
  • A commitment to the wider work of Ruby’s Fund and promotion of all services
  • The shared values of Ruby’s and be willing and able to uphold them in any activities related to Ruby’s
  • Be approachable to staff, volunteers making sure they feel valued and empowered
  • Have skills to work as part of a team
  • Be willing to complete any training courses that are required for this post
