Ruby’s is a charity based in Cheshire East. We have over 15 years’ experience of supporting children with special educational needs and disabilities (SEND), their families and carers. Through our services we support and encourage families to thrive in their own unique way.

Job Purpose

Summary of Key Duties & Responsibilities:
General Tasks
- Fulfil your duties within the job description and contract
- Ensure that all Ruby’s Fund policies, procedures and values are always upheld
- Always represent Ruby’s in a professional manner
- Support the CEO, SMT & Café Supervisor with the general day to day running and maintenance of the centre & facilities as directed.
- To report back to the CEO, SMT or Café Supervisor as required with the information relating to quality of provision and anything else which may compromise the provision, nature, and values of Ruby’s
- Primary keyholder for the centre as required
- Have a good understanding of health & safety in the centre and for the maintenance of the building and equipment to ensure staff, volunteer, and centre user safety
- Reception duties – till, sales, phone calls, signposting using website
- To assist with the monitoring of café stock to include ordering from PC Produce as directed by the Cafe Supervisor and stocktaking as directed by CEO, SMT or Café Supervisor.
- This role does not permit transactions which require online payments.
- Shop support, including stock management, sales monitoring, and completion of gift aid spreadsheet as directed.
- Assist with timetable planning if required
- Assist with data collection via customer satisfaction surveys as directed
- Support the CEO & fundraising team with events at the centre as required
- Contribute to the agreed high standards of hygiene and cleanliness at the centre under the supervision of the CEO, SMT & Café Supervisor
- Provide cover in the Café as required
- To undertake such other duties and responsibilities of an equivalent nature as may be determined from time-to-time by the CEO, SMT or Café Supervisor.
Administration
- Fulfil personnel training.
- Support the CEO, SMT & Café Supervisor with data gathering and reporting
- Support the CEO & SMT to ensure all centre sessions are prepared in advance of the session
- Promote services and session on display boards when on reception
- Follow all relevant Acts including the Equality Act 2010 and GDPR that relate to data management
Health and Safety
- Have a good understanding of Health and Safety in the workplace
- Contribute to the efficient upkeep and maintenance of the café, soft play, sensory garden, and toilets including stock and equipment, furnishings, and fittings
- Ensure that all policies and procedures are always followed
- Ensure food safety laws are always adhered to
- Be responsible for Health and Safety in the workplace as required
- A weekly fire alarm check is performed, and equipment is checked and documented by each team on a rota basis
Safeguarding
- Be part of the Ruby’s team that is responsible for the safeguarding of centre users at all times
- Ensure that all policies and procedures are implemented and always followed
Staff
- Support all members of the centre and café teams in their day-to-day duties
- Attend and contribute to regular staff meetings
- Encourage and support other staff so they feel motivated and want to do their best
Volunteers
- Follow volunteers training plans to help support them fulfilling their duties within their role descriptions
- Support the volunteers in their training for their posts so they feel supported and skilled to fulfil their duties within their role descriptions

- Ideally, experienced in supporting children, young people, and families especially children with SEND
- The willingness and ability to engage with children, young people, and parents to build rapport
- Has recently completed safeguarding training or willingness to undertake
- Has recently completed basic food hygiene level 2 or willingness to undertake
- Has recently completed first aid in the workplace or willingness to undertake
- Understanding of health and safety and risk assessments
- Good IT skills
- The willingness and ability to work flexibly and outside of normal office hours if required
- Ability to organize, plan and undertake own work, including appropriate record keeping
- Ability to be flexible, responsive and adapt practice to meet the individual needs of young people and their families
- Understanding of Equality and Diversity and the commitment to meet the individual needs of children and families
